Editorial Project Manager, InsideOut: Christian Resources for Outdoor Ministries

CBP/Chalice Press publishes InsideOut: Christian Resources for Outdoor Ministries in conjunction with representatives of church camp associations (Associations) such as United Methodist, Presbyterian, Brethren, United Church of Christ, Christian Church (Disciples of Christ), Episcopal Church, and others. The project manager is responsible for coordinating production work of each year’s curriculum, a cycle that generally takes 18 months.

Relationships

The project manager works:

  • for CBP/Chalice Press on a contracted fee-for-service basis reporting to the CBP/Chalice Press Associate Publisher or Publisher;
  • in consultation regularly with staff of CBP/Chalice Press on production, financial, and marketing matters;
  • as publisher liaison and facilitator of the Curriculum Development Team (CDT). The CDT includes representatives from the Associations and the publisher.
  • with the understanding that the assignment is work-for-hire and that all content created, edited or produced is the sole property of Chalice Press.

Primary Responsibilities

Project oversight: The editorial project manager has overall responsibility for ensuring that completion of the camp and conference curriculum resources occurs on schedule and on budget. The editorial project manager develops and negotiates agreements for the schedule and budget in consultation with CBP/Chalice Press staff. Editorial project manager maintains electronic (and hard copy when necessary) backups of all files, content, forms, emails, financials, etc.

Developing curriculum outlines and themes: The editorial project manager solicits potential writers from member communions and facilitates the development of outlines, daily themes, camper outcomes, and other initial work for the year’s curriculum.  The editorial project manager distributes the outline and theme for review and approval to CBP/Chalice Press. EPM meets annually with the CDT to determine curricula outlines, future visioning of the resource(s), and design the working functions of the CDT in cooperation with the PUBLISHER.

Description of the detailed assignment will be included as a separate Addendum B upon completion of the February/March CDT meeting.

Convening writer’s conference: On behalf of CBP/Chalice Press, the editorial product manager:

    • recruits, contracts, supervises, and terminates writers to develop the content of the curricula in agreement with the outlines and themes;
    • recruits a writer to survey the biblical/theological theme in advance of the writer’s conference so that this person may serve as a resource to the other writers during the conference;
    • solicits prospective writer suggestions from CBP/Chalice Press and Associations;
    • schedules a writers’ conference in accord with the development schedule;
    • ensures that logistical arrangements for the writers’ conference are secured, whether through the EPM or delegating the responsibility to Section Editor(s); solicits and reviews potential camp accommodation proposals prepared by the group of the CDT team as an option for the venue, makes final decisions based on budget and input from CBP/Chalice Press;
    • facilitates the design meeting or delegates the responsibility to Section Editor(s);
    • solicits and reports all financials according to CBP/Chalice Press standards.

Preparing content: The editorial project manager:

    • receives content from authors and conveys content to PUBLISHER, which will vet the completeness of materials produced by from writers and insert late-arriving material into the manuscript. The manager is responsible to request editorial content corrections from authors as described in the next bullet
    • oversees the receipt of content from authors and distributes to Section Editors for initial revisions, rewrites, or directions to produce additional material as necessary to ensure excellence of the resource in terms of clarity, ease of use, consistency in writing style and theological approach, adherence to theme, and effective spiritual formation;
    • fully edits all manuscripts and other content into an integrated resource, in one or more formats or media;
    • solicits input/review on manuscripts from denominational readers as identified by Associations' representatives; 
    • prepares manuscripts for design and production, providing complete instructions in the text for copyediting, graphics, and design;
    • locates appropriate, diverse photos from camps, getting appropriate release to distribute in a variety of media formats;
    • approves changes recommended by copy editors and designers;
    • completes one review following design;
    • writes the content of video product(s), locates video producer, and project-manage the production and delivery of the final video product(s), with approval from CBP/Chalice Press prior to production;
    • approves all final media files. 

Authorizing payment of writers: The editorial project manager provides written authorization to the publisher for payment of writers in accord with writer contracts and CBP/Chalice Press guidelines.

Sales and Marketing: The editorial project manager can expect to work closely with our Marketing Department on all aspects of marketing production, including but not limited to promotional materials, blog posts, social media interaction, etc. S/he will respond to email questions from customers, network via phone/email/social media, and develop appropriate partnerships for the development and marketing of the resource, with the guidance and support of CBP/Chalice Press.  S/he will be available for 1 conference (1-5 days in length each), exhibiting InsideOut and networking with conference attendees (only as assigned by CBP/Chalice Press). Approved travel and living expenses to conferences would be paid by PUBLISHER separately from this agreement. Expenses must be approved prior to expenditure.

Reporting to publisher: The editorial project manager reports monthly (at minimum) to CBP/Chalice Press via phone conference and email. Reports include sharing of approved outlines, development of schedules and budgets, issue resolution, writer and reviewer lists, and updates on the status of schedules and budgets currently active. The editorial project manager will also perform other duties as described in the job description and/or assigned by CBP/Chalice Press.

Compensation

CBP/Chalice Press pays the editorial project manager $10,000/year ($833.33/month) on a contract basis for completion of a given year’s curriculum. In addition, CBP/Chalice Press will pay the editorial project manager’s expenses, as provided in CBP/Chalice Press’s travel expense policy, for necessary meetings approved at least thirty (30) days prior to the event.
